Duties & Responsibilities

The Davis Center seeks a highly organized person to join its Outreach and Events team. The Events and Outreach Assistant serves a critical role in supporting Davis Center events that reach the academic community, K-12 educators, and the general public. As such, the work of the assistant is high profile and requires a strong administrator who can handle soup-to-nuts logistics with finesse, a calm demeanor, and a commitment to excellence.

The Davis Center hosts well over 100 public events a year: seminars, lectures, teacher trainings and school presentations, film screenings, book talks, art/poster/photography exhibits, conferences, colloquia, and weekend immersive workshops. Working closely with event chairs, the assistant ensures that all event logistics are well-planned and implemented. In addition to these public events, the assistant will support receptions and meetings hosted by the Center.

Responsibilities include, but are not limited to: 

Event Logistics: ordering event materials; securing space, cleaning services, security, parking; arranging travel and accommodations; processing registrations; on-site setup and support.

Communications: create and distribute flyers; use of MailChimp and EventBrite for promoting activities; maintain the center’s online events calendar with all listing details; submit event information to on-and-off-campus media outlets.

Finance:  the assistant is provided with budget parameters, and within these parameters, is responsible for purchasing related to each event; communicates policies and procedures to event chairs and participants, and ensures full compliance; processes requests for reimbursement, honoraria, and invoice payment.

Administration: responsible for updating and maintaining the events database; maintains documentation for DC archives; provides front desk coverage and other general administrative support, as needed.
